This article reviews how Minor Rules are used within Scheduling.

When Minor Rules are created and marked as 'Active', they will be applied to the Schedule Calendar. These Rules will then assist the Scheduler in following Federal and State Labor Laws by notifying them of any Labor Law violations as the schedule is built out.

Violations will not only appear when a Shift is being created but will also appear in the Manager Queue when Shifts are traded or claimed. It is important to note that the system will notify Users when a Shift violates a Minor Rule but will not prevent the User from creating and publishing Shifts.

Marking Employees as a Minor

R365 will determine which Employees are minors by referencing their birthday listed on their Employee form. If no birthdays are included, ensure to update this field on the corresponding Employee forms.

Employees who are under 18 will have a red dot displayed next to their Profile photo wherever it is listed, which includes the Schedule and Manager Queue.

  • Note: If an Employee turns 18 during the operational week, they will become exempt from Minor Rules at the start of the next operational week, unless a Minor Rule includes 18-year-olds in its Age Groups.

Scheduling Shifts

As Schedulers build out the upcoming Calendar, they will receive a warning whenever Shifts violate one or more Minor Rules. These warnings will appear in two areas on the Schedule Calendar: the New Shift and the Publish Check modals.

New Shift Form

As the Scheduler builds out the upcoming Schedule, they will receive a violation warning each time a Shift violates one or more of the following aspects of a Minor Rule for the chosen Employee:

  • Daily Hour Limits
  • Weekly Hour Limits
  • Total Days Per Week Limits
  • Overnight Hour Restrictions

The Scheduler can then either click 'Cancel' to update the Shift and avoid the conflict or click 'Ignore' to bypass the warning and create the Shift.

  • Note: If a minor works at more than one Location, the system will check the Shifts created across all of their Locations upon Shift creation to assist in avoiding any Minor Rule violations.

Publish Check Window

If any Shifts violate the Minor Rules set for that Location and were still published, those Shifts will appear once more in the Publish Check modal. From this modal, Users can see the following details about each violation.

1) Employee - The Employee name whose work schedule violated the Minor Rules set

2) Violation Type and Total Time Violated - The type of violation and its corresponding time violation(s):

  • Daily Hour Limits - The total hours over this daily limit
  • Weekly Hour Limits - The total hours over this weekly limit
  • Total Days Per Week Limits - The total days over this limit
  • Overnight Hour Restrictions - The time range that violates the restriction set

3) Shift and Time Violated - The Shift that is in violation and its corresponding time violation(s): 

  • Daily Hour Limits - The total hours for the listed Shift that are over this limit
  • Overnight Hour Restrictions - The Job Title and time range that violates the restriction set

Manager Queue

In the Manager Queue, Minor Rule violation warnings will appear if an Employee will exceed the set hour constraints for their Location's Minor Rule when trading or claiming a Shift.

This warning will note the type of violation followed by the number of hours/days that violate the Rule. Managers can use this to help determine which Employees can have a Shift change approved or denied.
