For various reasons, you may want to delete a transaction from the system. Please understand that in order to delete a transaction, it must meet the following conditions:
- The transaction is part of an open fiscal period.
- The transaction has no applied AP payments or credit memos.
- The transaction is unapproved.
This article will cover the deletion procedure and all related prerequisites.
Deletion Procedure
To delete a transaction, follow these steps:
- In the Accounting module, in the left menu under the Transactions heading, click All Transactions. If you're in the Smart Operations module, first access the left menu and select Classic R365 Exp.
- Use the search and/or filter options in the column headings to locate the transaction.
- Double-click the associated row to open the record.
- On the record page, hover over the Action menu and select Delete.
- On the confirmation pane, select Yes.
Unapprove Procedure
If the deletion option is absent from the Action menu, it likely means the transaction is approved. You can verify this by noting an adjacent Unapprove menu (if the transaction is unapproved, this menu will instead say Approve).
To access the deletion option, you must unapprove the transaction by hovering over the Unapprove menu and selecting Unapprove.
If the unapprove option is absent from the top ribbon, it likely means the transaction is part of a closed fiscal period. For additional considerations, see the "Fiscal Period Status" section below.
Unapply Procedure
Please note that you won't be able to unapprove a transaction if any AP payments or credit memos are applied to it.
On the transaction record, access the Apply tab, and examine the Apply column:
Un-check any checked rows and then hover over the Save menu and select Save.
Fiscal Period Status
In order to unapply applied AP payments or credit memos, or unapprove a transaction, it must be part of an open fiscal period. If you're uncertain of whether it is, refer to "How can I determine whether a transaction is part of a closed fiscal period?"
